How to Install ChimpSync

You have to have Salesforce administrator rights in order to install this app.

Start your install by clicking on the link you received in email or from Appexchange.

 

 

Connecting to MailChimp and Salesforce

  1. Go to ChimpSync app in app menu in upper right corner
  2. Open ChimpSync Settings tab
  3. First connect with MailChimp by entering you MailChimp credentials. This is required only the first time and we don’t save any sensitive information
  4. Return to Salesforce ChimpSync Settings tab and connect with Salesforce. After successful authorization you will have to re-login to your Salesforce account.

Editing Campaign layout

  1. Go to Campaigns tab
  2. Open any campaign from Recent campaigns or create new.
  3. Click Edit Layout in the upper right section (below main navigation tabs)
  4. Add Synchronize with MailChimp button to the layout
  5. Create new Section: ChimpSync
  6. Add ChimpSync fields in ChimpSync section (see the list below)
  7. Add related list: ChimpSync Member Statistics

List of ChimpSync fields on Campaign layout

  • MailChimp List
  • Last ChimpSync
  • MailChimp Campaign ID
  • Sync Member Activity
  • Segmentation
  1. Go to Campaigns tab
  2. Open any campaign from Recent campaigns.
  3. Click Edit Layout in the upper right section (below main navigation tabs)
  4. Select Related tabs in the left menu of page layout editor
  5. Drag and drop Campaign History related list to the layout
  6. Press the wrench icon on the related list and add fields you find important to see on the Campaign (suggestions: Active, Sync member activity, Opern rate, Click rate, Created date (order rescending))
  7. Remove New button on the Button section
  8. Save the layout
  1. Go to Your Name | Setup | Customize | Campaigns | Campaign Member | Page Layout
  2. Add Contact or Lead id (ChimpSync.member_id)* to the layout
  3. Add Name (ChimpSync.name)* to the layout
  4. Add Email (ChimpSync.email)* to the layout
  5. Add Last name (ChimpSync.lastlame)*

*Hover with over the field listed at the top of layout editor to see the description in brackets

  • Contact or Lead id
  • Name
  • Email
  • Last name

All ChimpSync fields need to be visible in the layout. This is especially true for Salesforce CRM Professional edition.

  1. Go to Your Name | Setup | Customize | Contact | Page Layout
  2. Add ChimpSync Member Statistic related list to the layout
  3. Scroll down to the list and press wrench symbol
  4. Add fields Time opened, Times opened, Links clicked,Unsubscribed, Reason… from left column to the right
  5. Add Campaign History (ChimpSync.Campaign_History)
  6. Save changes

Repeat the same for Lead object

  1. Go to Your Name | Setup | Customize | Lead | Page Layout
  2. Add ChimpSync Member Statistic related list to the layout
  3. Scroll down to the list and press wrench symbol
  4. Add fields Time opened, Times opened, Links clicked,Unsubscribed, Reason… from left column to the right
  5. Save changes
  1. Go to Your Name | Setup | Customize | Contact | Page Layout
  2. Add Visualforce page called Subscriber Activity – Contact
  3. Set up Visualforce page properties so it allows scrollbars
  4. Save changes

Repeat the same for Lead object

Sync Salesforce and MailChimp

See ChimpSync in action

With ChimpSync you can create multiple MailChimp campaigns for every Salesforce campaign. For all campaigns created with ChimpSync you will receive summary statistics of corresponding MailChimp campaigns. These statistics are recorded in Campaign History records.

For each new MailChimp campaign you have an option to transfer subscriber activity back to Salesforce. You can do this by leaving the Sync Member Activity on the Campaign page always checked. If you uncheck it, your new campaigns will only sync summary stats. Before you sync you need to be sure you selected MailChimp list.

  1. Create new Campaign
  2. Add Campaign members to the campaign
  3. Decide if you want member activity back in Salesforce.
  4. In the MailChimp list lookup field select to which MailChimp List members
  5. Click on Synchronize with MailChimp Button.

You have different scenarios, depending on the sync option you choose.

  1. Create new MailChimp campaignThis creates a new MailChimp campaing with all members selected as a segment of the list. Once your sync is finished you have a campaign waiting for you in MailChimp.
    • Login to MailChimp
    • Go to Campaigns
    • ChimpSync created a campaign with same name + date of the sync + segment with Salesforce
    • Edit campaign, add design and send
  2. Update members on MailChimp campaign. If you add new members to Salesforce campaign or you remove some of them, and you still have the last synced campaign in draft in MailChimp, then you can change the segment by selecting the second option.
  3. Sync reportsWhen campaign is successfully sent from MailChimp you can start syncing back the reports. When your sync is finished you must refresh the page in your browser to show you the results.

New Campaign History custom object – Used for storing summary statistics

Sync Member Activity field on Salesforce standard Campaign object – when checked all subscriber activity of the MailChimp campaign will be synced back as records on ChimpSync Campaign Member Statistics.

Visualforce page component on Contact and Lead page layout shows all lists that a Contact or Lead is subscribed to, and all Campaign history with member activity. This feature gives you all MailChimp history on Contact or Lead without burning any of your Salesforce storage limits.

Create multiple MailChimp campaigns from one Salesforce campaign

You can use the same Salesforce campaign and it’s members to create multiple MailChimp campaigns. This is especially useful if you send out regular newsletters to the your customers. You can just add new members to the Salesforce campaign and create a brand new MailChimp campaign every time you need to send out your newsletter.

Updating members on MailChimp campaigns

You can just update members on the campaign which is still a draft in MailChimp. If you have already created a new MailChimp campaign using ChimpSync, and it is still a draft, you can still add or remove members and sync them to your MailChimp campaign.

Updating reports

Every time you use ChimpSync to update reports, all Campaign History records will be updated. If Sync Member Activity is checked also all subscriber activity will be synced as ChimpSync Campaign Member Statistics records.

  1. Add the Campaign History related list to the layout
    • Use the wrench icon to select the filed you wish to show on the related list (Active, Sync Member Activity, Open rate, Click rate, MailChimp report)
    • Remove the New button from the related list
  2. Add Sync Member Activity checkbox to the Campaign Layout
  3. Remove deprecated fields
    • One way sync
    • Emails sent
    • Total times opened
    • Unique opens
    • Total clicks
    • People who clicked
    • Forwarded
    • Forward opens
    • Facebook likes
    • Soft bounces
    • Hard bounces

Contact and Lead page layouts

  1. Go to Contact or Lead page layout editor
  2. Select Visualforce page from the left menu
  3. Add Subscriber Activity visulforce page to the layout

  1. Edit preferences for the visualforce page, and make sure to check Show scrollbars

 

Administrators of Sales Cloud orgs with Saleforce Enterprise license will have to add Field Accessibility to new fields and objects to profiles or permission sets in line with their security policy.
